First of many!!!

This is the worksheet I will be using, if you have suggestions for additional information regarding each prize, please feel free to suggest.

As things have developed, I realize this is of no value. No one was looking at it (which is fine) and it's too complicated. So, the current versions will not be put on the forum. I will email to anyone, if they are concerned about my ethical treatment (no offense taken)

From here, each prize number will be assigned to a contest, by Becca. Then, when I get them back, they will be broken down into worksheets by contest and given to the contest's "prize coordinator" who will be responsible for awarding and following up (hopefully ten to twenty prizes per "coordinator") The prize NUMBER will be the key. Each number will be used once and only once.

If we gain prizes AFTER Becca has assigned all that we know of (end of January), they will need "special treatment". I hope we can MINIMIZE this. Last year, CSUSA, as well as a couple individuals from the IAP went directly through Jeff, after the prizes were assigned. This was a "fly in the ointment".

All ideas toward improving this system are welcome, until January 25!!!

One suggestion on prize allocation...use the bigger (value) prizes for the bigger contests. Last year, there were some prizes used for the daily trivia contest that had significantly higher value than some of the prizes allocated to some of the major contests. I think major contests should command higher value prizes than the daily trivia, etc. I think prizes should be based on the difficulty of winning the contest. Boxes of pen blanks donated by members are best served for the trivia contest where it is mostly a drawing rather than for say the photo contest where it takes some real planning and work to win.

Of course, this is all my opinion so take it for what it is worth!

On the trivia, we are considering putting the names of the daily winners in a "hat" and having a weekly drawing for one or two bigger prizes. That way Andrew, Ed, Becca and the prize crew won't have quite so many prizes to track.

Final (til right now) version of spreadsheet.
This is more for historic value, should I get hit by a bus tonight. As the contests get decided, we will have a spreadsheet for each contest, that will give the number designations (1-35 and 101-whatever) to each. This way each prize will be allocated and everyone will remember what they pledged.

This system will allow us to assign 10 or so prizes to each "prize distribution captain" (how's that for a title??) and let them track the awarding through the actual receipt of each prize. Should work, no matter how MANY prizes we have, or how many contests.

If we are giving prizes for the top 3 pens in each contest I will need 9 prizes , 3 for each of the 3 pen contests . Depending on what we can afford the 3 1st place prizes should be nice prizes and the 3 2nd place prizes should be good prizes and the 3 3rd place prized could be boxes of blanks , if that's ok by everyone .

As long as a couple of you are watching this thread, what do you think of a "deal or no deal" approach to the prizes for trivia?? Each prize would have a number and you pick the number when you win.

I would have a master list that said what prize has that number and that would then be your prize.

(This has the additional advantage of allowing us to add prizes as the contest evolves, without having to announce changes)

PLEASE provide feedback!!

Most of the trivia prizes will be about $20. But we have a Paul Huffman vise and a few Alumilite packages ($50ish), so it seems like the "luck of the draw" approach could be fun. And give us a chance to plug Alumilite several times during the bash, since they gave us EIGHT packages!!!

Wow ED, you been busy today. One more quick (ya right) question. What is the norm? Do we post the specifics of each prize including the approx. value or do we just post prize "package from XXX" and leave it to be a surprise, or some other combination of info. I know what I want to do but thought for a change I'd try and conform to what everyone else will be doing. Thanks,

Far as I know, we have never posted a value. I asked for that this year to make the separation easier---for ME!!

You can post as much info as you wish. I really don't think our members "play" for the prize, I think it's bragging rights. But, they are some nice prizes and the donors would probably be grateful for any additional "plugs" they get.

How's that??
