PLEASE READ ALL OF THESE RULES VERY CAREFULLY.

Here is the condensed version of the most important points first:

• To participate members profile must be up to date, has completed all previous IAP activities, can ship internationally.
• Keep the identity of team number and teammates confidential
• Communicate with your teammates and the Activities Manager, especially if unforeseen circumstances cause you to drop out.
• If you know that you have other obligations that would prohibit your involvement, do not sign up.
• Sign-ups close April 30, 2013.
• Every team member must contribute (hands-on) to the creation of the pen.
• No outside help or contracted services are allowed.
• Form, Fit, Finish, Originality, Functionality.
• Maximum of 5 photos of the pen only, 800 x 600 pixels, emailed to Activities manager.
• Pen to be received by the Activities Manager by December 31, 2013.

Now, the long winded, detailed procedures and rules for this activity.

This challenge is open to all members of the IAP regardless of skill level who:

1. Have their full name, place of residence (city & state or equivalent) in their public profile. Please note that information contained in the IAP Public Profile is not visible to non-members of the IAP.

2. Are able to be reached via PM or email.

3. Have not been banned from participation in IAP Activities due to failure to complete a previous activity.

4. Are willing to ship internationally.

Registrants will be randomly grouped into teams of three (3) individuals. One or two teams might have a fourth member assigned to them at random, depending upon how many members sign up for the challenge. The groupings will be done by random draw (RANDOM.ORG - True Random Number Service) conducted by the Activities Manger. All registrants will be assigned to a team on or before May 1, 2013.
Once the teams are created each team will be assigned a number (Team 1, Team 2, etc.) Each entrant will be advised who their teammates are and the team number to which they are assigned. Team members are to keep the identity of their teammates, and their team number, to themselves. In other words, no one outside of your own team and the Activities Manager should know what team you are on and who your teammates are.

Once the teams are selected by said drawing there will be no changes to the teams. The IAP recognizes that sometimes things happen that restricts one's ability to complete this or any IAP activity. If you foresee any reason that you would be unable to complete this activity please, DO NOT SIGN UP. If, during this course of this activity you find you are unable to complete the activity you MUST communicate this fact to your team members and the Activities Manager. INDIVIDUALS WHO, WITHOUT GOOD REASON OR WITHOUT COMMUNICATION TO THE ACTIVITIES MANAGER AND THEIR TEAM MEMBERS, FAIL TO HONOR THEIR OBLIGATION TO COMPLETE THIS ACTIVITIY WILL BE BANNED FROM PARTICIPATION IN FUTURE IAP ACTIVITIES.

Each team will create a pen. Each member of a team must contribute (hands – on) to the creation of the team's pen. There are no restrictions or requirements involved in the creation of the pen. This is strictly "Freestyle". However, only team members may work on the pen. Contracting for outside services (engraving, plating, etc. is not allowed.)
As the pens are being planned and created please keep the following criteria in mind:

FORM:
• The pen is visually appealing
• The pen is not overly wide or tapered
• The pen is comfortable to hold and write with.

FIT:
• There is smooth, seamless transition between fitted components.

FINISH:
• The finish is consistent and even.
• There are no sanding marks or swirls in the finish.
• No discoloration or spotting evident under magnified examination.

ORIGINALITY:
• Uniqueness of design
• Uniqueness of modifications

FUNCTIONALITY:
• The pen must be a functional writing instrument.
• Smoothness of actions/mechanisms

Each team will have 8 months to complete their pens and ship them to the Activities Manager. During this period team members will have to communicate with other team members and ship the pen between them to facilitate construction. All expenses related to the construction of the pen, including all shipping costs are the responsibility of the team members.
Upon completion of a pen the team will submit a maximum of 5 photographs of the pen to the Activities manager via email. The photos are to be no larger than 800 x 600 pixels. The pen may be supported by a plain black or clear plastic pen holder. The background should be a solid color. No props are allowed in the photos.
Once the photos have been taken the pen will be shipped to the Activities Manager. The pens must be received by the Activities Manager on or before December 31, 2013. Any pen rece3ived after December 31, 2013 will be displayed to the membership but will be ineligible to win.
Final disposition of the pens will be determined by the IAP management. No IAP manager will retain any of these pens for their personal use.
This is a competition. There will be prizes awarded for 1st, 2nd and 3rd. place. Each member of each winning team will receive an identical prize. Prizes are yet to be determined.
The winners of this competition will be determined by vote of the membership. Members will be instructed to pay particular attention to the criteria listed above.

Signups for this activity will be open until 4/30/2013. Do not sign up in this thread.


It may be necessary to modify and/or amend these rules due to unforeseen circumstances that may arise during the course of the activity. Modifications will be clearly communicated to the entrants. Suggestions for improvement of this activity are encouraged via PM to the Activities Manager (not posted in the thread).

One of the teams asked this question:

"XXXXXXXXXXXXXXXXXXX is throwing around some ideas and wanted to get a clarification. One of the ideas we are discussing is a desk pen -- a pen and a base. Before we get too far down the road in planning, we would like to know if a desk pen is allowed and if so, would the base be part of the criteria for judging? We certainly would not want to spend a lot of resources on making a great pen and a base only to have the base discounted in the voting process."

Here is the answer I gave them:

"The judging will be done by the membership. They will be asked to judge based on:

I'm sure some members will consider the base and pen as a package. That will not be encouraged or discouraged. But the instructions to the members will be to judge the entry on the aforementioned criteria."
